PMI Canadian West Coast Chapter Elections – Applications Closed

This is to notify Members of the PMI Canadian West Coast Chapter (PMI CWCC) that the Annual General Meeting (AGM) will be held on February 26, 2025, and all Members in good standing are invited to attend.

During the Annual General Meeting, members of the PMI CWCC will elect members to serve on the Board of Directors at PMI CWCC for a term spanning 2 years – 2025-2027.

 

Nominating Committee

A Nominating Committee will consider the following eligibility factors for positions of the PMI CWCC Board of Directors:

  • All PMI CWCC members in good standing for the last two consecutive years are eligible to apply to become a Director of the Board of the Canadian West Coast Chapter.
  • Applicants with at least one year of volunteer experience with PMI CWCC or a minimum of two years of experience as a Board member in a non-profit organization will be considered an asset.
  • As a PMI CWCC member and potential Board candidate, all individuals considering a Board position must abide by the Project Management Institute’s Code of Ethics and Professional conduct.
  • All Directors of the Board will be required to commit to attend approximately 12 board meetings annually, 1 annual strategic planning meeting, 1 annual conference and multiple committee meetings during their term.

 

Expectations

Candidates are expected to:

  • Have passion, purpose, positivity to serve on the board as a leader and volunteer for the project management community.
  • Demonstrate an understanding of the PMI CWCC vision and mission.
  • Keep up to date on the issues and trends that affect the project management profession and PMI CWCC.
  • Contribute to the strategic decision-making process to achieve the Chapter’s goals by actively participating in board meetings. Directors of the Board will be expected to prepare for board meetings by reading agendas, minutes, reports, and other documentation required to actively participate in the meetings.
  • Collaborate with other Board Directors to develop policies and procedures for governing the Chapter.
  • Mentor and guide member volunteers who take on valuable roles under the Chapter.
  • Manage the strategic roadmap and performance of the Chapter.
  • Clear and effective verbal and written communicator.
  • Recruit, develop, mentor, coach and support the dedicated PMI CWCC volunteers.

 

Applications are open for up to 4 Board of Director (BoD) positions.

Allocation of portfolios for successful board members will be chosen through an Election process at the March Board Meeting.

Each candidate will not be expected to fulfill all of the following criteria points. However, the Nominating Committee will review all candidate applications and encourage all those interested to apply.

 

Criteria Points

Professional Development

  • Responsible for Professional development and chapter events in accordance with Chapter policies and bylaws.
  • Responsible for establishing and managing Chapter Professional development programs, live and online.
  • Responsible for managing the Chapter Annual Conference.
  • Define strategies for improvement in Professional development/training programs.
  • Provide information to members and non-members on career development.
  • Promote the project management profession through the planning and coordination of special events, as identified by the chapter board, designed to enhance and expand the skills and knowledge of project managers.

 

Programs

  • Responsible for coming up with a strategy and roadmap for programs offered by the chapter.
  • Coach and mentor a team of volunteers responsible for successful delivery of the dinner events and other programs offered by the chapter.
  • Responsible for finalizing location, catering and registration for the chapter’s dinner events and programs.
  • Evaluate and select appropriate speakers and presenters for the chapter’s dinner events and programs.
  • Collaborating with other portfolios of the chapter to deliver member facing events and programs.

 

Volunteer Management

  • Identify and develop programs to involve, grow, and engage volunteer members.
  • Manage all aspects of Volunteer recruitment and retention.
  • Develop and administer volunteer recognition programs.
  • Manage the chapter’s use of PMI’s Volunteer Engagement Platform (VEP).

 

Business Development

  • Responsible for proactively seeking sponsorship and advertising opportunities for CWCC by building partnerships with organizations interested in project, program, and portfolio management or who offer professional project management services.
  • Develop, plan, execute, monitor, and control PMI CWCC’s sponsorship and advertising programs and policies.
  • Monitor, report, and make recommendations to the Board to maximize sponsorship and advertising revenue.
  • Work independently or collaboratively with other Directors to deliver sponsorship and advertising features and ensure timely billing and payments.
  • Create and manage sponsor, advertiser, and vendor contracts.

 

Membership Management

  • Develop and implement strategies to grow and retain membership.
  • Organize events, workshops, and networking opportunities to enhance member engagement.
  • Develop and manage member services and benefits to enhance value for members.
  • Conduct regular surveys and gather feedback to assess member satisfaction and needs.
  • Ensure effective communication with members through regular newsletters, updates, and announcements.
  • Oversee the onboarding process for new members to ensure they feel welcomed, informed, and valued from the start.
  • Maintain an accurate and up-to-date member database, monitoring and reporting on membership statistics and trends.

 

Marketing

  • Report on the effectiveness of marketing campaigns using pre-determined Key Performance Indicators.
  • Continually review changes to the project management market, consumer trends and the activities of competitors, adjusting the marketing plan as required.
  • Utilise data for marketing campaigns to support PMI CWCC.

 

Finance

  • Responsible for the financial management, operations, and sustainability of the chapter. Advise the BoD on all matters from a financial perspective.
  • Update financial policies such as the expenditures policy, investment policy, and reserve policy.
  • Review financial records and bank reconciliations, work with auditors to conduct the annual financial audit to provide assurance over the accuracy of the financial statements.
  • Maintain financial records, approve payments to volunteers and third parties.
  • Provide the BoD with presentations to keep them apprised of the financial management, operations, and sustainability of the chapter.
  • Create the financial section of annual report that is provided to our members. Provide members at the AGM with a presentation summarizing the financial performance, budget plan, and sustainability of the chapter.

 

Information Technology Management

  • Utilize technology to achieve business goals, eliminate security risks, increase user satisfaction, and maintain operations and systems for PMI CWCC.
  • Support PMI CWCC with their technology requirements as needed.
  • Support the PMI CWCC Website Refresh Project.
